Infrasound takes your privacy seriously. This policy explains what information we collect through this website, why we collect it, and what your rights are.

Who we are

Infrasound is run by Carole O'Neil. For the purposes of UK data protection law, Carole is the data controller, which means she decides how and why your information is used.

What information we collect

We only collect information if you choose to complete the Contact form on this website to book a chat or ask a question. When you do, we ask for

• Your first name
• Your last name, if you'd like to share it
• Your email address
• The service you're interested in, such as 1:1 coaching or network membership
• Whatever you'd like to tell us about what's on your mind

There's also a tick box asking if you'd like to be kept posted about events. This is entirely optional and starts unticked. You only receive event updates if you choose to tick it.

We don't use cookies, analytics, or any tracking tools on this website. The only outside service the site connects to is Google Fonts, which loads the typefaces you see on the page. This means your device briefly connects to Google's servers, which will see your IP address, but no other personal information passes through this connection.

Why we collect it, and what allows us to use it

We use your information for two different reasons, depending on what you've asked for.

Responding to your enquiry and staying in touch. If you fill in the form, we use your details to reply to you and talk through what you're interested in. If a working relationship doesn't follow, we may still keep a record of your details in our contact management system, as part of how we maintain our professional network. This is a legitimate interest of ours, responding to people who've reached out to us and maintaining our own network of contacts, and we don't believe this affects your rights in any way that overrides that interest. You can ask us to delete your details at any time, see "Your rights" below.

Sending you event updates. If you've ticked the "keep me posted" box, we use your email address to let you know about upcoming events. This is based on your consent, and you can withdraw it at any time. See "Your rights" below for how.

How we store your information

When you submit the form, two things happen. Your details are saved securely in our database, and a copy is emailed to Carole so she can respond to you. Access to this information is restricted, and it isn't visible to anyone else who visits the website.

Who we share it with

We don't sell or share your information with anyone for their own marketing purposes. We do use a small number of trusted service providers to help us run this website and manage our contacts, including our website hosting and database provider, the service that delivers our emails, and HubSpot, which we use as our contact management system. Because our email inbox is connected to HubSpot, enquiries that reach our inbox are also stored there. These providers only process your information to help us provide our service, and aren't permitted to use it for anything else.

Some of these providers may store or process information outside the UK. Where that happens, we make sure appropriate legal safeguards are in place to protect your information, in line with UK data protection law.

How long we keep it

If you get in touch but don't go on to become a coaching client or network member, we delete your enquiry details from our website database 12 months after your last contact with us.

We may keep a record of your details for longer in HubSpot, our contact management system, as part of how we maintain professional relationships and our wider network. If you'd rather we didn't, just let us know and we'll remove your details, see "Your rights" below.

If you do become a client or member, we'll keep your details for as long as our working relationship continues, and for a reasonable period afterwards to meet our legal and accounting obligations.

Your rights

Under UK data protection law, you have the right to

• Ask us what information we hold about you, and get a copy of it
• Ask us to correct anything that's inaccurate or incomplete
• Ask us to delete your information
• Ask us to restrict how we use it, or object to us using it
• Ask us to move your information to another organisation, in a portable format
• Withdraw your consent to event updates at any time, without affecting anything we did before you withdrew it

To use any of these rights, or to unsubscribe from event updates, just email carole@infrasound.co.uk. We'll respond within a month.

If you're ever unhappy with how we've handled your information, you also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or by calling 0303 123 1113. We'd really appreciate the chance to put things right first, so please do get in touch with us too.

Changes to this policy

We may update this policy from time to time, for instance if the way we collect or use information changes. Any updates will appear on this page, with a new "last updated" date at the top.
